Why Companies Change IT Providers: When They Outgrow Their Current Providers’ Capacity and Skills

Kevin is founder and president of Dynamic Computing. For more than two decades, he has been a trusted technology partner for Seattle-area businesses and nonprofits.

When your company had 10 employees, your IT provider was a great fit. They knew your systems, responded when something broke, and kept your operations running smoothly.

Now you have 30 employees, maybe even 50, along with multiple locations, more applications in use, and a growing list of security and compliance requirements. And you’re starting to notice some cracks.

Support requests are taking longer to resolve. Technology projects you’ve had planned keep getting pushed back. You’re not always getting clear answers when you ask about security, long-term planning, or how to incorporate something like AI into your operations.

None of this necessarily means your current IT provider is doing a bad job. More often, it means your business has grown beyond what your provider has the capacity or expertise to support.

And that means it’s time for a change. The IT support that got you here might not be equipped to get you where you’re going — or where you want to go.

A Problem of Scale

As your business adds employees, enters new markets, or opens more locations, your technology environment naturally becomes more complex.

Managing that complexity requires skills that go well beyond the basics of backups and help desk support.

Take hybrid cloud environments, for example. According to Flexera’s 2026 State of the Cloud Report, 73% of surveyed organizations now operate in environments that combine cloud and on-premises infrastructure. IT providers managing these environments need to do more than troubleshoot individual systems. They need to understand how everything works together and how changes to one system might affect another.

That growing complexity, combined with more employees relying on more technology every day, can put a strain on smaller IT providers.

Even excellent technicians can only handle so much. As the number of devices, users, and support requests grows, a small team can quickly become stretched thin. Before long, most of their time is spent putting out fires, while maintenance, documentation, improvements, and strategic planning take a back seat.

Again, this doesn’t mean the provider that’s been with you since the beginning has suddenly become bad at their job. But your employees still need timely support to stay productive, and your leadership team still needs technology projects completed to support growth.

If your provider is constantly reacting to what’s happening today, they don’t have the capacity to keep track of potential problems before they disrupt your business. Nor do they have the ability to plan a technology path that moves you forward.

Capacity Is Only Part of It

In IT, there’s general support and then there’s specialized expertise.

A provider that’s excellent at managing computers, troubleshooting everyday problems, and administering Microsoft 365 accounts is in the former camp. They offer valuable capabilities, especially for small businesses that are just getting off the ground, but there’s a ceiling to how effective they can be.

As your company scales, though, your technology needs will grow exponentially. A new major customer may have security or compliance requirements you’ve never experienced before. Or you realize there’s value in implementing tools like AI, or moving critical applications to the cloud.

When that happens, more often than not, you’ll find yourself needing an IT provider that’s in the latter, more specialized camp.

And finding that expertise quickly isn't always easy.

According to ISC2's 2025 Cybersecurity Workforce Study, 59% of cyber security professionals reported critical or significant skills gaps within their organizations, up from 44% the previous year. AI and cloud security were among the areas where specialized expertise was most needed.

While the study wasn't specific to IT service providers, it highlights a growing challenge across the technology industry: keeping technical skills aligned with rapidly changing business needs.

IT providers can't afford to stand still. They need to continually invest in training, certifications, specialized talent, and new capabilities.

All of that takes time and money.

Costs of Underperforming IT

Security is an obvious concern when an IT provider is stretched beyond its capabilities. But there are other, more practical consequences that can be just as costly.

One of the biggest is unnecessary technology spending.

According to Zylo's 2026 SaaS Management Index, organizations leave an average of 36% of their software-as-a-service (SaaS) licenses unused. That's a lot of money going toward technology that isn't delivering value.

While the research primarily reflects larger organizations, the problem can affect businesses of any size. And it's exactly the kind of issue an IT provider should be helping you identify and address.

The same goes for your other technology investments.

Learn more about key questions to ask your IT provider.

As your business grows, here are some questions you need to keep top of mind for your IT provider:

  • Do they know how many laptops or other devices are currently in use?
  • Can they tell you which software licenses you’re paying for but no longer need?
  • Have your employee onboarding and offboarding procedures kept pace with your growth?
  • Is there a plan for replacing aging equipment before it becomes a problem?

If your provider is struggling to provide any of this information, it may be a sign that the size and complexity of your business have outgrown their ability to manage it effectively.

And when those gaps go unaddressed, unnecessary expenses, delayed projects, frustrated employees, and security vulnerabilities that might otherwise have been avoided tend to emerge.

It’s important to remember that not every delayed ticket or difficult technology project means you need a new IT provider. But when the same problems keep coming up, it's worth taking a closer look.

Know What You Actually Need

If you're wondering whether you've outgrown your IT provider, you don't necessarily need to start interviewing replacements right away. First, take a closer look at your current IT environment and whether it's meeting your business needs.

A comprehensive IT audit can help identify whether your infrastructure is keeping pace with growth, where security vulnerabilities exist, which systems need improvement, and what capabilities you'll need moving forward.

It can also help you distinguish between problems with your technology and problems with how that technology is being managed.

Sometimes the findings point to improvements your existing provider can make. Other times, they reveal that your business needs a different level of support and expertise.

Either way, you'll have a clearer picture of where things stand and what needs to change. You’ll also have all the information you need to make an informed decision rather than guessing whether it’s time to move on to a new provider.
